Administration Assistant | St John’s Catholic Primary School, Dubbo

About the Role
Reporting to the Administration Manager, the Administration Officer plays a vital role in supporting the effective daily operation of St John’s Primary School through high-quality administrative support, communication, and organisational management. The role requires a proactive, highly organised, and professional person who can work independently while contributing positively to the school community.

A key component of the role includes supporting school communication and promotional initiatives using Canva and digital platforms, assisting with attendance monitoring through COMPASS, and maintaining accurate and engaging school website content.

Administration and Office Support

  • Provide professional administrative support to school leadership and staff.
  • Manage front office operations including phone, email, parent enquiries, and visitor reception.
  • Maintain accurate records, filing systems, and school databases.
  • Assist with preparation of newsletters, correspondence, reports, and school documentation.
  • Support school events, enrolment processes, and general administrative tasks.
  • Work independently to prioritise tasks and meet deadlines in a busy school environment.

Digital Communication and Promotional Materials

  • Design and create professional promotional materials using Canva, including:
  • School newsletters
  • Flyers and posters
  • Social media graphics
  • Event promotions
  • Presentation materials
  • Support the promotion of school initiatives and community engagement activities.
  • Ensure promotional materials align with the school’s branding and Catholic identity.

Website and Digital Content Management

  • Maintain and regularly update school website content.
  • Ensure information on the website remains accurate, current, and engaging.
  • Upload news items, event information, newsletters, forms, and photographs as required.
  • Assist in improving digital communication with parents and the wider school community.

COMPASS and Attendance Support

  • Assist with monitoring and maintaining student attendance records using COMPASS.
  • Follow up attendance concerns and support school attendance procedures.
  • Generate attendance reports and assist leadership with attendance tracking.
  • Support staff and families with COMPASS-related enquiries where required.

About You (Selection Criteria)

The successful applicant will demonstrate:

  • Experience and/or strong skills in administration within a school or professional office environment.
  • Demonstrated experience using Canva to create high-quality promotional and communication materials.
  • Experience and/or knowledge of COMPASS, particularly in relation to attendance monitoring and administration.
  • Highly developed organisational and time management skills with the ability to work independently and manage competing priorities.
  • Experience maintaining and updating website content and digital communication platforms.
  • Strong interpersonal and communication skills, including the ability to work collaboratively with staff, students, parents, and the wider community.
  • High attention to detail, professionalism, and confidentiality.
  • Commitment to supporting the Catholic ethos and values of St John’s Primary School.

Qualifications and Experience

  •  Relevant administration qualifications and/or demonstrated experience in a similar role.
  •  Experience working within a school environment is desirable.
  •  Current Working with Children Check (or willingness to obtain).
